Everything you need to know about Wrington Youth Week

Getting Started

Wrington Youth Week is a community-run event offering three days of activities, adventures, and fun for children of all ages in Wrington. It takes place in August and is organised entirely by parent volunteers from the village.
Youth Week is open to children living in Wrington or who attend, or have attended, Wrington School. Unfortunately we are not able to accept children from outside the village.
Enter your email address on our sign-in page and we'll send you a secure magic link — no password or account setup needed. Once signed in, add your children's details and you're ready to start booking activities.
No. We use passwordless sign-in. Just enter your email and click the magic link we send you. It works the same way every time — new or returning, just enter your email.

Booking Activities

After signing in and adding your children, go to "Browse & Book Activities" from your dashboard. Choose the activities you'd like for each child, add them to your cart, and pay online.
Yes. Add all your children to your profile, then select activities for each one. Everything goes into a single cart and you pay once at checkout.
A small 2.5% booking fee is added at checkout to cover card processing costs. Youth Week is not run to make a profit — where a small surplus is made, it goes back into running costs.
We regret that we cannot give refunds for activities that you cancel or which your child cannot attend for any reason. There will be a board in the Pavilion during Youth Week for parents to advertise for sale any activities their child can no longer attend.
If we have to cancel or limit an activity due to lack of interest or volunteers, we will offer a refund for that activity.

Timetable & Sessions

After booking, your child's activities will show as "Awaiting Time" until we have final numbers. Once we've assigned children to session groups, the exact times will appear on their timetable. The time block (morning or afternoon) will stay the same.
On your dashboard you can choose up to 5 friends per child that they'd like to be grouped with. We'll do our best to match them up when assigning session groups, but we can't guarantee it.
We group children by key stage, then try to honour friendship requests where possible. Groups are balanced by size to make sure every session runs smoothly. Once groups are set, your child's timetable will show their exact session times and teammates.
From your dashboard, click "Timetable" on any of your children's cards. You'll see all booked activities with session times, locations, and any special instructions. You can also print the timetable.

Payment

We accept card payments online through SumUp at checkout. You can pay with Visa, Mastercard, or other major debit and credit cards.
If your payment fails, check your card details and try again. If the problem persists, try a different card or contact your bank. If your payment was taken but the booking didn't confirm, use the "Retry Confirmation" button — do not start a new checkout or you may be charged again.
Yes. All card payments are processed securely by SumUp, an authorised payment provider. We never see or store your card details.

Volunteering

From your dashboard, tap "Volunteer to Help" or go to the volunteer signup page. Browse the list of activities and click "I'd like to help!" on any you're interested in. You can add an optional note with your request.
Your request goes to the committee for review. You'll see "Thanks! We'll be in touch closer to the event" on the activity. Once approved, you'll be assigned to specific sessions — check your volunteer timetable from the dashboard to see your confirmed times.
Yes. While your request is still pending, you can cancel it by clicking "Cancel request" on the activity. If your request has already been approved, please contact the committee directly.
Once approved, visit your Volunteer Timetable (linked from your dashboard) to see which activities and specific sessions you're assigned to, whether you're a lead or helper, and the exact times.
Activities run by volunteer parents or helpers in the village may not necessarily involve DBS-checked adults. Wrington Youth Week takes all necessary steps to provide the correct adult-to-child ratios and has a safeguarding policy in place.

On the Day

It is essential that your child is checked in to and out from every activity. The lead adult for each session will handle check-in. Please ensure your child does not leave an activity without being checked out first.
Parents are responsible for making sure their children have everything they need for each activity. Check the parent instructions on your child's timetable — some activities have specific requirements (e.g. old clothes for messy activities, trainers for sports).
Please let the organiser or the committee member on duty in the Pavilion know as soon as possible so we don't waste time waiting. You may also advertise the spot on the noticeboard in the Pavilion.
Our behaviour policy is available on request and on the Pavilion Desk during Youth Week. If a child fails to behave in an appropriate manner, we may not allow them to participate in further activities during the week.
Some activities will not provide transport. Parents will need to coordinate with other parents to arrange transport for these activities. Check the activity details on your child's timetable for location information.

Safety & Safeguarding

Yes. Wrington Youth Week has a safeguarding policy and a safeguarding officer. The policy is available on request and will be available on the Pavilion Desk during Youth Week.
We have undertaken a risk assessment for every activity we offer. These are available on the Pavilion Desk during Youth Week. The lead adult for each activity is familiar with, and signs, the risk assessment before checking children in.
Wrington Youth Week takes all necessary steps to provide the correct adult-to-child ratios for every activity. The specific ratio depends on the activity type and age group.

Data & Privacy

We collect your name, email address, phone number, and your children's details (name, date of birth, key stage, medical information, dietary requirements, and any SEND needs). This information is used solely to organise Youth Week activities and ensure the safety of your children.
Only Wrington Youth Week committee members and activity leaders have access to your data. We do not share your information with any third parties.
Your data is stored securely using cloud-based systems. All personal data is deleted after Youth Week concludes each year.
